Job Description Summary 
The Executive Assistant is responsible for the daily administrative duties of the bank, projects and assignments given by the respective executive staff, and assisting with needs of the various departments within the bank: Finance, Strategic Partners, Credit, and Compliance.
 
The Executive Assistant will be the assistant to the President and reports to the President of the Bank.
  
Responsibilities
  • Assistant
    • Complete special projects as assigned by senior management
    • Prepare expense reports for approval
    • Gather data and compile various reports for management
    • Manage Policy Tracking Log - circulate to senior management for monthly updates and coordinate with Compliance Group
    • Perform general administrative assistant duties including: typing, copying, scanning and filing
  • Monthly Board Packages
    • Assemble monthly packages for the Board meeting and other meetings
  • Office Administration
    • Schedule, plan and carry out organization-wide activities and meetings (i.e. summer party, Christmas party, staff meetings)
    • Receive and distribute mail, and issue correspondence from various departments as needed
    • Order supplies and keep supply room organized
    • Maintain and distribute parking validations
    • Organize and maintain confidential information and other files
  • Human Resources and Benefits
    • Coordinate semi-monthly payroll with outside service provider
    • Administer all HR functions at the Bank, including payroll, benefits, time off tracking, and 401k plan
    • Coordinate company recruiting
  • Office Liaison
    • Greet visitors
    • Communicate with outside vendors and service providers
    • Primary contact for landlord correspondence
    • Keep kitchen fully stocked (coffee, soda, water, etc.) on a daily basis
    • Keep front lobby and boardroom presentable
  • Finance Group
    • Act as back-up for assembling daily wire packets
    • Act as back-up for inputting wires, ACH, and book transfers
    • Record, deposit, and file checks received
    • Compile weekly rate reports
    • Other duties as requested
  • It is the responsibility of every employee to help ensure that the Bank and its Strategic Partners are in compliance with applicable regulations.   
Position Requirements
  • Bachelor's Degree (preferred)
  • 2 years executive level support experience
  • High level of proficiency in using Microsoft products including: Excel (must be advanced user), Word, PowerPoint, Internet Explorer, and Outlook
  • Excellent verbal and written communication skills
  • Requires a self-starting, highly organized, detail oriented and resourceful problem-solver capable of managing several tasks simultaneously in a fast-paced, challenging & changing environment and possessing excellent follow-up skills
  • The position of Executive Assistant requires by nature of the superiors' positions, involvement with high level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, confidentiality, discretion and judgment
